At Harper Evans Recruitment we are committed to ensuring we comply with GDPR, effective May 2018. Harper Evans Recruitment provides services in the UK and will act as Data Controller concerning your information.

Who is collecting the data?

The team at Harper Evans Recruitment will collect data to provide a recruitment service to our candidates and clients. We are registered on the Information Commissioner's Office Register of Data Controllers under registration number ZA324293, and act as the data controller with regards to your information.

What data is being collected?

Candidates – we store information volunteered on your CV, information provided in the Harper Evans Recruitment application form, information from third-party job boards and registration information from the Harper Evans Recruitment website. We also keep records of information attained by phone, email or in person. The information may include name, address, contact information, data of birth, right to work, employment history, references and personal information. We store any testimonials and may publish them only with your consent.

Clients – we store information collated from emails, phones calls, meetings and company websites. The information may include company details, contact information, company structure, job vacancy details and other information created when you use our service. We store any signed documents such as terms of business. We store any testimonials and may publish them only with your consent.

Suppliers – we store information such as company details, contact details and payment information.

What is the legal basis for processing the data?

Candidates – candidate data is kept and used under consent and in compliance with Principle 1, Article 5 of the GDPR. We use the information to offer a job finding service.

Clients – client data is kept and used under consent and in compliance with Principle 1, Article 5 of the GDPR. We use the information to provide a recruitment service.

Suppliers – we store data needed for internal and accounting processes only

Will the data be shared with any third parties?

Candidate data will only be shared with clients upon consent from the candidate.  Client data will only be shared with candidates upon consent from the client. We do not sell or share your data with third parties for third party marketing purposes. 

How will the information be used?

Candidates - candidate data is kept and used under the use of consent and in compliance with Principle 1, Article 5 of the GDPR.   Harper Evans Recruitment does not sell or share your personal information to third parties for third-party direct marketing purposes.  Harper Evans Recruitment will use your information to assist you in finding employment and securing a permanent or contract position.  Data will be stored on our internal systems and all paper documents will be securely stored on each site. 

We will use information collected to:

  • Find and match suitable roles and companies to fit your job search requirements
  • Submit your CV to clients in the process of providing a recruitment service
  • Communicate with job seekers via email, phone, text message or post regarding vacancies

Clients - client data is obtained, kept and used under the use of legitimate interest and in compliance with Principle 1 and Article 5 of the GDPR.  Harper Evans Recruitment does not sell or share your information to third parties for third-party direct marketing purposes.  Data will be collated onto our internal systems and all paper documents will be securely stored on each site. 

Harper Evans will use information collected to:

  • Discuss present and future organisational recruitment requirements
  • Allow us to provide suitable candidate details to vacancy requirements
  • Provide candidate CVs and any other relevant candidate information
  • Update clients on events and announcements which may be of interest
  • Manage recruitment processes including but not limited to: interviews, feedback and offers
  • Process credit checks and raise invoices for services provided
  • Undertake research and analysis to enhance Harper Evans Recruitment services

Sharing and Disclosing Your Personal Information

We do not share or disclose any of your personal information without your consent, other than for the purposes specified in this notice or where there is a legal requirement.

Harper Evans Recruitment uses third parties, acting as data processors, to provide services and business functions such as a customer relationship management database, email server and website hosting.

Information will be shared internally within the Harper Evans Recruitment team to provide work-finding and recruitment services.  Harper Evans Recruitment will only share information with third parties when required as part of our work-finding or recruitment services.  Harper Evans Recruitment may check the information collected such as obtaining references with third parties. The candidate’s data will only be shared with Harper Evans Recruitment clients who have a legitimate recruitment interest and only then with the expressed candidate’s permission.

Your data may be disclosed to any person, firm or company to whom we sell the whole or a substantial part of our business or to whom we may transfer any part of our rights or obligations. We may also disclose your information where necessary to enforce our Terms of Business or other legal requirements.

Use of Cookies

The Harper Evans website www.harperevans.co.uk (the “Site”) uses cookies.  Cookies are small data files that the Site places on your computer or handheld device. This is normal practice for websites. Cookies are essential to help us provide a high-quality website. By collecting information through cookies and other automated means on our Site, we learn how to best tailor the Site to our visitors.

How do we protect your information?

Your data security is our highest priority. Harper Evans Recruitment has taken steps to protect your information by limiting access to our network and locations where your data is stored. Our team only access data that is required to complete their job function. Further information on the security features of our system is available on request. Although we do our best to protect the information you share via the internet, anything you submit via the internet is done so at your own risk.

How long will the data be stored?

Harper Evans Recruitment will retain your information whilst you are actively seeking employment, unless you request deletion of your account or information, and for no more than 6 years after we have placed you in a contract or permanent role.

If your work finding search is no longer active, your information will be stored for twelve months under legitimate business interest in compliance with Principle 1 and Article 5 of the GDPR, then securely destroyed and removed from our database.

What rights does the data subject have?

You have the right to:

  • Request the details we hold on you
  • Remove consent of data processing
  • Request to be forgotten from our databases and systems
  • Request our Right to Be Forgotten policy
  • Request our Subject Access Request Policy
  • Request data corrections of any details we hold on you
  • Opt-out of all non-essential email communications
